Client Success Stories – Right Sizing An Office Staff

As businesses grow, the way that those businesses must be managed changes over time. Without placing the correct controls in place, enterprises end up being out of control entirely.

Fifteen years ago, a thirty-five year old entrepreneur came to me with this exact problem.

Joanne B. Owner was a nurse who’d set up an in-home nursing care business providing both licensed and unlicensed nursing staff to elderly clients. She’d begun the business five years before booking only herself.

She loved helping the elderly and was extremely dedicated to her patients.

As the business grew she put on another ten nurses and was now handling over 60 patients. Those patient needs were sometimes one visit per week while others had daily needs.

The business had grown to a point where it was doing $500K annually and making plenty of money but it had become a burden to its owner. The administrative needs in scheduling, payroll, billing, and dealing with client issues had turned this once comfortable business into a seven day a week nightmare.

Joanne originally came to us wanting to get out of the business entirely. She needed help in the worst way. The problem was that she didn’t trust anyone to take over any of her responsibilities.

As businesses grow, the skills of the person entrepreneuring it must grow as well. And these are usually the hardest lessons for any of us to learn.

We get comfortable in our jobs and don’t want to change. Sometimes we even make excuses so that we aren’t forced to change along with the business.

Our solution was to bring Joanne’s most dedicated and hard-working nurse into the office to provide some much needed support. We installed billing and payroll solutions that took the majority of those responsibilities off of Joanne’s desk.

In staggering the days that her new assistant worked it also gave Joanne the full weekend off so that she could again rest and have something that reasonably resembled a life. More importantly, by right-sizing her office staff, Joanne was able to focus on the more important aspects of her business that was once again under control.

Since then, her business has continued to grow, with her last S Corp Return showing $2.2M in sales. This has necessitated many other changes in her office staff which has grown to a total of five, but one thing is certain.

Joanne no longer wants to get out of the business. Instead she wants to continue growing it so that she can help even more people.

She once again loves her business and is more dedicated than ever.
